Carney Jones Ltd is registered with The Information Commissioner's Office (ICO), registration number Z1239015, and follows their recommended guidelines on data protection. The ICO is the UK's independent authority set up to promote access to official information and to protect personal information. Documents we need to keep by law
Under rules of the Immigration and Asylum Act individuals working for Carney Jones Ltd are required by law to present us with ID before commencement of employment with one of our clients. Details of the ID we retain can be found here. We are obliged to retain these documents to accompany our accounts for a period of 6 years. This applies to individuals that have worked for one of our clients, either under a PAYE basis or as a Ltd Company contractor (including contractors working through composite companies or CIS schemes). On certain military assignments we may need to retain additional information.

CV storage
When an applicant submits a CV to Carney Jones Ltd the document is placed on a database for easy retrieval. We use a Boolean search system to find applicants by the skills they have on their CV’s as well as their names and addresses.
The CV’s are stored in indexed folders categorised by the age of the document received (per month) rather than applicant name, address or skills.
The folders containing the CV’s are kept for a period of 1 year then placed into an archive folder. The archive folders are routinely deleted to comply with our internal policy after a further year on a monthly basis.
Individuals can remain on our database by request. Once this request is made the CV is moved to the current monthly index folder, this will again remain on our data base for a period of one year before being archived and routinely deleted the following year. All accompanying information with the CV such as proof of qualifications and training etc. is also deleted.
Bank details
No personal bank details are ever requested until a contractor is placed on assignment. Paper, fax or electronic bank details sent to Carney Jones Ltd by contractors are deleted and destroyed as soon as they are input onto our banking system. This is usually immediately upon receipt. The details are now only stored by our bank, the HSBC.
Security checks
On occasion our clients within the defence or security sector have stringent identification policies and security checking processes. If applying for a position with one of these clients a range of security checks, CRB and medical checks may be a pre-requisite. For high level security assignments the checking of family and friends may also be a pre-requisite. You will be informed of any high level security checks in advance of interview.
Drugs screening
On certain assignments contractors may be asked to have a drugs screening test before or during the duration of the project to meet the clients recruitment, random testing or incident-related needs. For further information click here
